Policies

Card Ownership

All eligible card holders (See Types of Saints ID Cards for eligible card holders) must obtain an identification card, also known as the Saints card, by having their picture taken at one of the issuing sites. The process takes approximately 5 minutes. Once you obtain a card, no activation is necessary. Your card expires only when you withdraw, graduate, or leave the university.

All Saints cards and identification numbers remain the property of the College of Saint Benedict and Saint John’s University and The Order of Saint Benedict as stated on the back of the ID cards. A Cardholder must return the card or provide it for identification upon the request of an official of the College of Saint Benedict or Saint John’s University.

The purpose of the identification card system is to provide a way to gain access to services, benefits and secured facilities on campus. All account numbers for students must be provided by the registrar’s office. Each cardholder must help maintain the integrity of the system by immediately reporting lost or stolen cards to SJU Life Safety at #2144, or CSB Security at #5000.

Issuing Saints ID Cards

The Saint John’s Life Safety Office and the Security Office at the College of Saint Benedict are responsible for issuing Saints cards. These two offices organize the distribution of cards for first-year and transfer students during orientation and also day-to-day production of replacement ID cards for those that are damaged, lost, or stolen. These offices will verify the employment or class registration and the accuracy of the ID number. When the verification is completed, a picture is taken and the Saints card is assembled with the ID number encoded on the magnetic strip on the back of the card along with a library bar code.

Students at the College of Saint Benedict, Saint John’s University, and Saint John’s Preparatory School can obtain their Saints card at the issuing office of their respective school. Faculty and staff should contact the issuing office of the campus where they are on the payroll to obtain their ID card.

Guest special-use Saints cards are also available for long term guests who will have a specific campus affiliation. These special-use cards include, but are not limited to: Military Science, Minnesota Public Radio, Ecumenical Institute, and the Pottery Studio. To obtain the ID card, the administrator of the sponsoring department/program must contact the Life Safety Office at Saint John’s University or the Security Office at the College of Saint Benedict. The sponsor must indicate the name of the person, the length of their stay, the reason the card is necessary, and provide a budget number to cover the expense of the card and card production. The card may not be immediately available if a new campus identification number needs to be created for the guest.

Saints cards are NOT issued to spouses or children of current employees, spouses or children of students, or to alumni/alumnae.

Acceptable Photos

Photos for Saints cards will be taken when the card is issued by the Saint John’s Life Safety Office or the College of Saint Benedict Security Office. The photograph is for identification purposes and baseball caps, bandanas, sunglasses, etc, are not allowed in photos.

Replacement Fees

Replacement cards are $25.00 per card, which may be charged to the person’s account or paid by cash or check. Cardholders who have a damaged card because of misuse or abuse will pay $25.00 for a replacement card. If a replacement card needs to be made for a name change or ID number change, there is no charge.

Lost or Stolen ID Cards

If a card is lost or stolen, it is to be reported to the issuing office; SJU Life Safety at #2144, CSB Security at #5000, or to a system administrator to invalidate the use of that card. At this point, the card is invalidated to deter any misuse of the cardholder’s accounts. When a card is encoded with the cardholder’s ID number, there is an added digit to the end of the number. When a replacement card is made that end number is changed. This makes the lost/stolen card permanently invalid and the current card valid. This feature eliminates the possibility of someone using a lost card for charging or meals, without having to give a new ID number to anyone who needs a new card.

Card Abuse

The institutions do not accept any responsibility for actions or consequences which take place as a result of misuse of the card, or the services accessed with the card, whether such action is by the nominated cardholder or other persons. Misuse or attempted misuse of the Saints card will be handled by the institutions’ disciplinary process or referred to outside authority if the institution deems it necessary.

Conditions of Use

  1. The card may not be used by a person other than the person to whom it is issued.
  2. The person to whom it is issued may not lend it to any other person for any purpose.
  3. The card may only be used within its period of validity.
  4. The cardholder accepts responsibility for all library books and materials and other institutional property issued against the card and agrees to meet the terms and conditions applying to the issue of that property.
  5. The cardholder is responsible for all losses resulting from lost, stolen or misplaced cards, until the time they are reported missing. Maximum liability for unauthorized use of a card is limited to  the amount of prepaid accounts.
