Golf Club Constitution
Section 1: Name
CSB/SJU Golf Club
Section 2: Purpose/Mission
Our purpose and mission of the golf club is to allow students the opportunity to learn, play, and experience golf. The club will offer golf at a reduced rate in a friendly environment at a level of competition determined by the player.
Section 1: Eligibility for Membership
Any CSB/SJU student or faculty that is currently enrolled or employed by the universities.
Section 2: Voting Member Criteria
a)General Membership: All members are given the authority to vote at the semi-annual club meetings. In order to become a member, they must first contact the Co-Presidents about becoming a member. They must also attend both semi-annual meetings, along with 50% of the events hosted by the Golf Club. Faculty members do not have voting rights.
b) Officers will be nominated by existing officers, and then voted into office by the entire club. These officers are expected to attend all meetings, which include executive and general meeting, along with attending 75% of the events hosted by the Golf Club. They are required to participate in all aspects and tasks of the club that they are assigned to do.
c) Board Members - Are members who will be looking to take officer positions in the upcoming years. They are required to attend 75% of the meetings, and take on responsibility delegated from officers.
Section 3: Removal of Members
- First, they would be warned by any member of the Executive Board in regards to improper golf etiquette, lack of attendance, lack of responsibility, or any other behavior that poorly represents the club or CSB/SJU.
- Second, continuance or lack of change from detrimental behavior will result in official removal of the club, which would require a majority vote by the club officers. This vote must take place within one week of continued lack of change.
- Members can appeal the decision by presenting their argument to the officers for reconsideration.
Section 4: Officers going abroad or leaving for internship.
- In the event of an Officer leaving school for a semester, their spot will be filled through a vote on qualified candidates. Upon their return, a vote will be held again for the position for the next semester.
Section 1: Officer Qualifications
All officers must be at least of sophomore status with a minimum of one year membership on the board prior to nomination. Board members can be first year members.

Board Members Upcoming Management
The term length for officers and board members will be one year. (Mid-March - Mid March the following year)
Section 3: Duties of Officers
- Delegating responsibility
- Overseeing and carrying out golf club vision
- Facilitating and leading meetings
- Lead the club through responsible actions and guiding all position, board, and golf members
- Overseeing spending
- Responsible for making sure all spending is approved
- Staying in contact with club auditor
- Monitor money going in and out
- Checking invoices
- Responsible for setting up and passing the club budget
- Setting up a intuitive website
- Update the website with upcoming events and news
- Manage our Facebook CSB/SJU Golf Club page
Head of Funding
- Help raise money though fundraising events
- Making sure were spending within our budget and funds
Head of Marketing
- Creating excitement among the students
- Market the club to different companies interested in having corporate events
- Create and manage an image that the reflects to club to market to students
- Find out what students want through surveys and conversations
Student Relations: CSB/SJU
- Make sure students have car rides to and from the golf course
- Staying in contact with students to help with club member retention
- Report minutes of meetings
- Keeping track of important documents and filing
- Contact golf courses on who could host a golf event
- Contacting students to help plan the most convenient dates possible
- Setting up tee times for students to go golf
Section 4: Vacancy of Office
If both Co-Presidents are absent as a result of resignation, removal, or school-based study abroad programs, the club officers will conduct a vote to determine who will fill the role as President. Vacated roles within the officer hierarchy will be filled by board members, as voted by the officers.
Section 5: Removal of Officers
A motion to remove an officer can be instigated by either President if they harbor complaints from any member. Upon receiving complaints, the Co-Presidents can call an emergency meeting in which officers, will vote on whether or not the officer should be removed. The officer in question will have the opportunity to present their case in either verbal or written statement. The club requires 2/3 of the officers voted to remove an officer. In the event of an officer being removed a board member will fill the vacant spot.
Section 6: Appeal of Removal of Officer
If the officer is voted out, he or she has the opportunity to appeal the decision to both the club Co-Presidents and the Club Officers.
Article IV: Elections
Section 1: Nomination Process
- Presidential Nomination: Members that meet the required criteria can nominate themselves for President or an Officer position. Those nominees will be voted on by the existing members. The nominee with the most votes will be elected into their respected position.
- Board Members: Any member in good standing can become a board member.
Section 2: Elections
At the end of the year golf club meeting, the Co-Presidents will hand out ballots, which will contain all the nominees for each position, to all the members of the club to vote. Each member will chose one nominee for each position and will then return the ballots to the Co-Presidents. Once voting is complete, the existing Co-Presidents will tally the ballots and announce the winner of each position.
Section 3: Special Elections
If an officer is removed from office within the first semester of their time in office, a special election will be held at the end of that semester to elect a new officer for the remainder of the year.
Article V: Advisor
Section 1: Selection
The Executive Board will nominate and vote on a faculty member that they feel will be suitable for the position.
Section 2: Duties
The advisor will have the freedom to be as involved as they chose to be based on his or her responses on the Club/Organization Advisor Contract.
Article VI: Meetings
- Section 1: Regular Meeting/Club Activities
Four meetings will be held over the course of the school year:
- Beginning of the School Year- Give overview of club, expectations of season, fundraising ideas, and expectations of members. Also, introduction of officers and Q and A section.
- End of Fall Meeting- Expectations for winter season, golf club evaluation of season, and ideas for spring.
- Spring Meeting- Expectation for spring, Fundraising events, Information about nomination process.
- End of the School Year Meeting- Golf Club evaluation, election of next year's officers, applying to be a board member. Members will be notified of the meetings through e-mail, and there will be a sign-in sheet so members will be accounted for.
Section 2: Special Meetings
These meetings will be called by the Co-Presidents in case of officer removal, club discrepancy, event information sessions, or any other reason the Co-Presidents feel it necessary to do so. These meetings will be done only if absolutely necessary.
Section 3: Executive Meetings
Executive meetings will be when necessary in order to discuss upcoming events, financial reports, membership issues, and any other topics concerning the club.
Section 4: Parliamentary Authority
The meetings will be called into session and run by the Co-Presidents. They will consist of an introduction, a list and follow through of the agenda for the meeting, a time for Q & A, and a closing. We will follow Robert's Rule of Order during the meetings.
Section 5: Quorum
At least 75% of the members must be present at the semi-annual meetings in order for official business to occur.
Article VII: Committees
Section 1: Committee Structure
Committees will vary for each event with respect to the demand for that particular task.
Section 2: Special/Ad-Hoc Committees
Any special committees will be formed by the Co-Presidents in regards to the event requirements. In particular these committees would be formed for fundraising events, or specialty events.
Article VIII: Finances
Section 1: Co-Funding Board
Funding application will be prepared by the Co-Presidents, the Head of Funding and the Treasurer, and present it to the Co-Funding Board.
Section 2: Honorariums
The chance for honorariums would be available if the club were to gain profits from our generated funds.
Section 3: Dues
Members will be required to pay a set fee only for major events (this was added) as delegated by the officers. These fees will make sure that we break even on greens fees and other administrative costs.
Article IX: Amendments
Section 1: Ratification
Amendments to the constitution can be presented by any member of the Executive Board at any time. After the amendment is presented, the Executive Board has one to week to deliberate on the proposed amendment before voting procedures. These amendments will then be voted on by the Executive Board, requiring a 2/3 vote for approval.
Section 2: Submittal to Department of Student Activities and Joint Club Board
After an amendment has been made, both Co-Presidents will present the revised constitution to the Department of Student Activities and Joint Club Board.
The CSB/SJU Golf Club admits students without regard to their race, religion, color, sex, sexual orientation, or national or ethnic origin to all the rights, privileges, programs, and other activities, generally accorded or made available to members of the organization.
The CSB/SJU Golf Club considers hazing to be a degrading and destructive activity which is inconsistent with the standards of the student organization. The CSB/SJU Golf Club recognizes the dignity of each person and opposes all forms of hazing.
