Registering for Internship Credit

Important Notice:

You MUST be officially registered before you will be allowed to begin your internship. Internship credits cannot be earned retroactively.  Students are not allowed to register for credit after completing the internship.

Registering for an International Internship

Students will register for internship credits the semester before they plan to intern by completing these steps:

  1. Find a Faculty Moderator in the department where you plan to earn credits. The faculty moderator is typically a professor from whom you've taken a class or with whom you've developed a relationship. It's a good idea to talk to your faculty moderator during the planning stages of your internship and get a verbal agreement to moderate for your internship. For management majors the facaulty moderator will be assigned when you have completed your appointment with the Internship Office.
  2. Determine the number of internship credits you want to earn. You may be able to earn credits in more than one department. When arranging credits in more than one department you will have two faculty moderators, two sets of goals, and two registration forms.  Refer to the hours per credit guidelines to determine the minimum number of hours you need to work for the number of credits you want to earn. Students at CSB/SJU are allowed to earn a maximum of 16 internship credits during their 4 years.
  3. Check with your academic department about its requirements for earning internship credits and the maximum internship credits that you can count towards your major. 
  4. Make an appointment with the Internship Office staff by phoning 363-5799. During this appointment, staff will review the registration process with you and also discuss the legal forms and the reports and evaluations required for participation in the program.
  5. Meet with your site supervisor to find out as much as you can about the work you will be doing. Ask for a job description.
  6. To register for internship credits, download the Registration for Internship - Learning Contract which is linked at the top of this page. Read all 3 pages of the form and the instructions at the top of this page before you complete the form. Your learning goals and tasks and strategies for achieving those goals should be typed in the space provided on page 1. Management majors will review a PowerPoint on writing goals which will be made available to you in the Management Moodle Course after you have met with the Internship Office.
  7. Schedule an appointment with your faculty moderator to review your learning goals. Forward the Registration for Internship - Learning Contract by email attachment to your faculty moderator in advance of your appointment. At this appointment your faculty moderator will discuss your goals and determine the means of evaluation--what your moderator will expect you to do in order to demonstrate what you're learning. Your moderator will give you your final grade based on the means of evaluation you complete and evaluations they receive from your site supervisor. Page 1 of the registration form must be electronically signed by you, your faculty moderator, the department chair [if required], your site supervisor and the internship coordinator. You are required to electronically sign the Student Internship Agreement and Release on page 2 of the registration form. If you are doing an internship off campus, you and your site supervisor are also required to electronically sign the Internship Program Host Agreement on page 3.
  8. Circulate the Registration for Internship - Learning Contract form for approvals as instructed [see above instructions]. The final submission to the Internship Program Coordinator must be completed by the registration deadline, usually the last day of classes of the semester preceding your internship.
  9. For a fall or spring internship, indicate your intent to register for an internship by entering DNA-397-01A and the current Call # through Banner. Find the call number in the internship section at the front of the current class schedule. This step will protect your full-time student status until your registration paperwork reaches the Registrar but will not officially register you for an internship. The approved and signed Registration for Internship-Learning Contract is required for registration.
  10. Attend a MANDATORY one-hour Legal and Professional Issues Session the semester before you plan to intern. Sessions are offered in November-December for spring interns and in April for summer and fall interns. If you have questions about these sessions phone the Internship Office at 363-5799. You do not need to sign up in order to attend a session. PLEASE NOTE: The Internship Coordinator will not sign your registration forms until you have attended a Legal and Professional Issues Session.
  11. Your Registration for Internship - Learning Contract with all required signatures must be forwarded by email attachment to mbeuning@csbsu.edu by the registration deadline. This is usually one week before the end of the semester preceding your internship. Extensions beyond that date require prior permission from the Internship Coordinator.

Other things you need to do if you're interning away from campus:

If you'll be residing off campus during your internship notify the Residential Life Office and get information about how to secure housing after you return to campus. 

Notify the Registrar's Office if you're moving to a new address for the internship

Important Notice

Students at CSB/SJU who are applying for academic credit for an International Internship will be considered approved and registered only after the following requirements have been met and the Registration for Internship - Learning Contract form has been received and approved by the Internship Program Coordinator.

Tips for Writing Learning Goals 

                                                                     Requirements before your registration can be approved

Before leaving the U.S. all students participating in international study programs including internships are required to provide emergency contacts, sign a waiver and apply for a Student Identity Card. Information is available on the Office of Education Abroad website links below.  

1.     Health and Emergency Contact Form:  Students need to complete this form online:

2.     The Short-Term, Off-Campus Program Waiver and Release Form can be found at:

         Print the cover page to be signed by you and your parents. (Read the PDF's which are attached to the forms but you 
         don't need to print each one separately.)

         The originally signed copy (not a faxed or emailed version) must be submitted to the Internship Office. The 
         Internship Office will submit the forms to OEA.

3.      International Student Identity Card (ISIC)

Students participating in international study programs are required to purchase this card which includes insurance. Application information and an explanation of coverage are available at the CSB/SJU Office of Education Abroad. OEA will also take a photo for your card. The ISIC card is not meant to be primary health coverage. It is a secondary plan for major medical emergencies including emergency evacuation and repatriation insurance. If you plan to use your ISIC card for doctor's visits while abroad you must call the 1-800 number before you go. The cost for the card and basic coverage is $22.

Additional Steps to take before you Register

Students must register at the beginning of their internship.  Credits cannot be earned after the internship is completed.

Notice: Students participating in a Course #398 internship/field experience while on a CSB/SJU sponsored semester study abroad program do not need to follow the registration process below.  Check with your academic department to determine whether the course #398 internship experience will count toward your  experiential learning requirements.  Contact the Office of Education Abroad for information on how to apply for an international internship that is part of a study abroad program. The internship office does not administrate internships that are part of a CSB/SJU sponsored semester study abroad program.

3.    Check with your academic department about their requirements for earning internship credits and the maximum internship credits that you can count toward your major.

4.    Make an appointment with the Internship Office Coordinator by phoning 363-5799.  The CSB/SJU Internship Office supports students in setting up academic credit for international internships on condition that the site, housing and travel arrangements are discussed in advance with the Internship Coordinator. During this appointment staff will also review the international registration process and discuss the legal forms and the reports and evaluations required for participation in the program. 

5.    Since you'll be residing off campus during your internship notify the Residential Life Office and get information about how to secure housing after you return to campus.  Notify the Registrar's Office if you're moving to a new address for the internship.

6.    Students planning international internships are required to read the US State Department travel warning (if any) for their 
host country http://travel.state.gov/travel

7.   Complete the Registration for  Internship - Learning Contract (above) before you leave the U.S. or within 1 week after your arrival at your internship destination. When you communicate with your internship site, or after you arrive at your international internship site, get as much information as you can from your site supervisor about the work you will be doing.  Ask for a job description.

Read the instructions and the tips for writing learning goals before completing the form.

9.  Your learning goals and tasks and strategies for achieving those goals should be typed in the space provided on page 1 of the form.  Your faculty moderator will assign the means of evaluation..  The Student Agreement and Release on page 2 of the Registration for Internship - Learning Contract and the Internship Program Host Agreement on page 3 will be completed and signed by you and your internship site supervisor. 

10.  After completing the Registration for Internship - Learning Contract, electronically sign and forward  the contract by email attachment to your faculty moderator.  Your faculty moderator will review and approve your goals, assign the means of evaluation, electronically sign the contract and forward it back to you.  If required, forward the contract to the department chair for signature and ask that he/she forward it back to you.

11.  Email forward the form to your site supervisor.  Ask your site supervisor to review and electronically sign page 1 and the  Host Agreement on page 3 and return the signed form to you by email forward. 

12.  Email forward  the form to mbeuning@csbsju.edu for the Internship Program Coordinator's signature. The Internship Coordinator will sign last and will send  your form to the Registrar to register your credits.
