Short-Term Director FAQ

1. Where can I find the student handbook?

OEA will make available to every accepted student a copy of the Student Handbook.   

2. Who administers short-term trips abroad?

Short term international programs are administered in tandem between OEA and the Program Director.  The Director of the trip/course is responsible for all aspects of planning, promotion, budget, and logistics (see guidelines). OEA provides marketing and recruitment support and provides the risk management paperwork for the Colleges.  The Education Abroad Advisor will also meet with the Program Director to design a website, on-line application and other desired marketing and recruiting materials.

3. I would like to lead a short-term trip abroad. What is the deadline for the application?

There is no set application deadline; however you should consult with the Curriculum Committee (CC) early in the process.  Faculty proposing a new summer off-campus course must complete the CC New Course Proposal Form.  Only new courses require approval from the CC committee.

In planning for short-term study abroad programs, it is important to consider the demands of the destination in terms of required inoculations as well as passport and visa processing times (if applicable).  Students should also be given adequate time to prepare financially and logistically for the experience abroad. 

4. How much will I be paid for leading a short term trip?

CSB/SJU ordinarily pays directors (instructors) of short-term courses on a scale of $1,000 per course credit, so a 1-credit course has a $1,000 stipend and a 3-credit course has a $3,000 stipend.

5. What is the actual process by which students sign up for the course? Do they do so through me, through your office, through Banner?

You should check with the Registrar’s Office to make sure the new course is in the system.  The faculty director will submit a list of accepted students to the Registrar for enrollment in the off-campus course by March 15th.  The Registrar's Office will register students for the course. 

6. How do students apply for my short-term trip?

Students may apply directly with you or through an on-line application form with OEA.

Designing & Administering Short-Term International Programs

Guidelines for Creating and Directing Short-Term International Programs

The Office for Education Abroad welcomes faculty from across both campuses to develop short-term international study abroad and travel tour programs.  Short-term international programs are unique opportunities for faculty to develop innovative and creative educational programs for CSB and SJU students, while strengthening their international experiences. 

OEA can serve as a resource to faculty throughout this process.  Please contact Peggy Retka to set up a meeting.  In particular, OEA will manage the institutional risk and liability by centralizing part of the administrative process.  This is intended to provide students with one location from which to gather program information and to allow OEA to capture the necessary emergency contact, health and travel itinerary information for all participants.

OEA has not yet designed a faculty handbook specifically for short-term programs, however there is much information in the semester program handbook which you may find useful.  In addition, OEA has several copies of The Guide to Successful Short-term Programs Abroad which may be checked out for use.

1.  Faculty planning to create and direct short-term international programs for credit must complete the course approval process set forth by the Curriculum Committee

2. The Program Director will be responsible for program planning, budget and logistics as necessary.  Important steps include:

  • Plan a meeting with Dave Lyndgaard, Associate Dean of Academic Affairs, to finalize the program budget and arrange for the creation of a budget account number.
  • Apply for a CSB|SJU credit card with the CSB Business Office, if desired.
  • Submit the course (if applicable) to the Registrar's Office so that students may register.
  • Coordinate with overseas constituents to make all necessary logistical arrangements.

3. All international trips which include students and are associated with CSB and/or SJU must have a Director from the Colleges who is responsible for the trip and its participants. Students traveling on their own, with no connection to the Colleges, do not fall under these guidelines.

4.  OEA will work with you to design an informational website for students or link your pre-existing website to OEA's short term study abroad information page.

5. OEA can provide an on-line application process for these programs, or you may elect to design your own.

6.  Program Directors will make acceptance decisions and conduct pre-departure orientation sessions.

7. A deposit fee will be required by the Program Director. Those dates to be determined by the Faculty leader.

8. The Program Director will have each accepted participant complete the Health and Emergency Contact Information form and the Waiver/Signature Form.

9. Students will be registered by late April by the Registrars’ office.  Student Accounts will bill students in May for the tuition. The Program Director will advise students to deposit the travel and program fee money at student accounts (in a fund set up for the trip) by a date determined by the Program Director.    

10.  Program directors should provide OEA with a final copy of the travel itinerary, list of participants, and emergency contact numbers on-site at least two weeks before departure.
