Introduction

CSB/SJU offers the use of Microsoft Lync for telephone conferencing.  Use the instructions on the following pages to organize and join a Microsoft Lync telephone conference call.

Scheduling a Lync Conference Call

 1.       Go to the Lync Web Scheduler page: https://lync.csbsju.edu/scheduler.

2.       On the Lync Web Scheduler logon page, enter ad\internshipconf in the Domain\Username box, enter Conference23$ in the Password box, and click Continue.

3.       On the Create New Meeting page, enter your name followed by a description of your meeting in the Subject box, enter the Start Time and estimated End Time for your conference call, and then click the Save button.  You do not need to change any of the other settings on this page and, for simplicity, it is recommended you don't do so.

NOTE: The Start Time and End Time settings should be considered estimates.  You can start your conference call any time after you finish creating it with the Lync Web Scheduler and continue it well past the ending time you set.

 4.       You will now see a popup window similar to the one below containing the details you and the other conference call participants will need to join the meeting.  Copy the Join by phone and Conference ID information that is displayed into an email message and send to those that will be participating in the call.  Click OK to close this window.

 5.       Click Sign Out to signoff the Lync Web Scheduler web site.

NOTE: Do not use the My Meetings section of the Lync Web Scheduler site to modify any existing conference calls!  You are sharing access to this site with others who are scheduling conference calls for internship purposes.

 

Joining a Lync Conference Call - Meeting Organizer

 

1.       Dial the appropriate Lync conferencing number.

NOTE: We are charged for the use of the toll free number.  Please help us control costs by using the local number when you are using a cell/mobile phone or you are calling from an area where dialing the local number does not incur long distance charges.

2.       You will hear, "Welcome to the audio conferencing center. Please enter a conference ID followed by pound."  Enter the conference ID that you were given and then press the # key on your phone.

 3.       You will then hear, "If you're the leader, please press star now."  Press the * key on your phone.

 4.       You will then hear, "If you scheduled this meeting, please enter your PIN now."  Enter 8436 and then press the # key on your phone.

 5.       You will then hear, "You're now joining the meeting as a leader" and are connected to the conference call.  You will hear a tone as other participants join/leave the conference call.

As the meeting organizer/leader, you can use the following DTMF commands to manage the call:

Privately play the name of each participant in the conference.

Mute audience.

Mute or unmute your microphone.

Enable or disable announcements for participants entering and exiting the conference. Announcements are heard by everyone in the meeting

 

 

Joining a Lync Conference Call - Meeting Participant

 2.       You will hear, "Welcome to the audio conferencing center. Please enter a conference ID followed by pound."  Enter the conference ID that you were given and then press the # key on your phone.

 3.       You will then hear, "If you're the leader, please press star now."  No action is needed at this point.

 

After a few seconds have passed you will hear, "After the tone, please record your name and then press pound."  Say your name and then press the # key on your phone.  You will now be connected to the conference call.  You will hear a tone as other participants join/leave the conference call
