Fifth Meeting
I. Opening

II.Guests
A. Good evening my name is Jordan Differding. I am very involved in the organization ‘Up Til Dawn.’ If you do not already know, it is a club that helps raise money for children in need at Saint Judes Hospital. I am here to ask for your involvement. It can be as simple as writing a family member and asking them to make a donation. To get involved you can get a group together to participate in our ‘Up Til Dawn’ activity. Teams are made up of six individuals with one as the captain. We would really like to see the Saint Ben’s Senate help lead this project. On September 21-25th we will be having ‘Up til Dawn’ on the lawn. We will also be having Hooplah on the Mall and floats at SJU. We are implementing many new twists to the project. Black jack at the bus stops is one of our plans. You will recognize the theme. The children that are helped by this are adorable. We would like to bring a patient that we met in the past to campus so people can have a chance to see the kids we are helping. ‘Up Til Dawn’ would like to make testimonials to the SBS if you get really involved. E-mail me is you have any questions or ask anyone in the club. Thank you and we would really appreciate your help!

Thank you. I just want to begin today with an up-date on Mary Gellar. She was unable to come tonight or to the next meeting. I have invited her to come to the one after that. A project at hand is developing our SharePoint site. It is up and running. Every senator has access. Afterwards I will spend a few minutes to go over how you post a board report. Please post next week’s Board reports on here.

B. Vice President’s Report (Peichel)
I would like to begin by talking to you about Joint Senate Relations. We encourage you to meet with your counterpart once a month. We will start joint senate meetings in a month or so. Running the judicial committee is in my bylaws. We will be nominating two individuals from the student body. Nominators will be all Senators that are not on the judicial committee. I would like each of you to nominate two students for this position. Senators will be voting on the nominees. I encourage you to vote for people who are committed to this school and who express Benedictine Values.

a. While speaking with those involved with ILCP, I found it alarming that over 2/3 of those involved with the program are females. At the SJS meeting, I spoke to the Senators and encouraged them to go to more classes as the male leadership, to encourage their constituents to also attend the classes.

We will for sure be having Chalking done for Bennie DAy probably the Satruday before Bennie Day which is Sept. 26. because we are trying to combine efforts with SJS I dont have anything exact on times. I just wanted to give people the heads up that Senator Finley and I will need your help that weekend with P.R. initiative for Bennie Day. I will have a sign up sheet for sure at next Wednesdays meeting. Thanks All! =D
C. Executive Board Report (De Leon)
We met this Sunday like usual. Committees were discussed. The Executive Board went over Sharepoint and how to best transition into it. We are also excited about all that we can do on there. We talked about including a budget presentation from Hansen and Sperl.

Thank you. We adopted office hours which are from 3-5 P.M. Monday-Friday. We have a special election tomorrow (September 17, 2009) for the position of Auditor. There are five students running. The speeches will be held tonight at 8:00 P.M.
Vice President Peichel - I encourage you ladies to go to the speeches tonight and show your support to our counterparts.
F. Comments or Questions
Haugh – Watch for your committee assignments and for the board of trustees. The president will notify you with all your packets.
IV. New Business
A. Discussion on H1N1 (Terhaar)
John Mcgee, who has been coordinating things to get ready for the H1N1, was planning on being here this evening, but another commitment came up. He has asked me to give a report for the Health Steering Committee. Prevention is a major part of our plan. I would like to share with you a little bit about what the plan looks like. I have the entire plan here and I’m hoping to see what questions you may have. I would like to take suggestions on how to properly inform the students of the occurrences. I’m not a health care professional so I will do my best.
In terms of the current status here at campus, there are no confirmed cases. Six students are ill with many symptoms but no one has been diagnosed with H1N1. Testing is being done to a very select number of individuals in Minnesota. Symptoms have to be severe in order to receive the test.
We will be sending an e-mail out to the student body to give them an up-date of the current status and inform them of our prevention plan. I have e-mailed you senators the first 13 pages of our plan. Please do not forward this on to fellow students. We do not want to cause confusion or chaos. (Further detail of H1N1)
Trustee Hauff – Have you talked with the dining services to see if they could wash the tables more frequently?
Advisor Terhaar- I will bring that up. That is a great suggestion.
Senator Hansen – Same with desks. They are incredibly dirty.
Advisor Terhaar –At this point in time, that is not one of the recommendations. The guidelines may change; we will come back to this issue. There wasn’t a benefit to do that.
Senator Gresback – Just a suggestion, you may want to speak with the Health Advocates. They have a program in which they deliver health packets to the student body.
Andreason – We are actually doing our first trial run tonight. Maybe we can work out something.
Treasurer Hansen – Do you plan to make the sanitizers permanent?
Advisor Terhaar - Yes. Residential Instructors will be moderating them.
Public Relations Representative De Leon – I just wanted to say thank you for all the hard work you have done along with your fellow committee members.
Advisor Terhaar – I would ask that as students and representatives that if there are suggestions, recommendations, and concerns you will let us know. Feedback is incredibly important. Contact any individuals at the bottom of the e-mails.
B. Discussion on Senate Finances (K. Hansen and Sperl)
Allocations Chair Sperl – We would like to give you a brief but informative presentation. The Co-Funding Board timeline goes as follows: E-mail will go out tomorrow, budgets due on the 24th of September, and then a 3 day deliberation period.
Treasurer K. Hansen - Wednesday we will be voting to approve the budget. The write-up I passed out gives a few more details. Feel free to e-mail me with any questions.
Vice President Peichel – Could you discuss if someone needs to use money purchase order process?
Treasurer K. Hansen – Can you contact me 2 weeks in advance so I can communicate with you and Shelly. I just want to be sure there is not a problem.
Vice President Peichel – Are there a tax exempt form?
Treasurer K. Hansen – I believe you do that before you make the purchase.
Advisor Terhaar – The business office has really tightened up.
Public Relations Representative De Leon – I want some clarification, are you saying if we don’t do a purchase order two weeks in advance then you can’t get one.
Treasurer K. Hansen – Two weeks is what I’m asking for. Of course there will be situations where that is not possible.
C. Motion to approve the 2009-2010 Saint Ben’s Senate goals. (Peichel)
Motion made by Vice President Peichel and seconded by Senator Gresback.
Vice President Peichel – I would like to draw your attention to the half sheet. These are the goals that the 3 committees have developed. These committees do not exist yet. If you have any questions about these goals please ask. I am very proud of what we have been able to achieve.
Motion 0910-010: Motion to approve the 2009-2010 Saint Ben’s Senate goals passes 16-0.
D. Motion to form the Saint Ben’s Senate Student Issues committee. (K. Hansen)
Motion made by Treasurer K. Hansen and Seconded by Senator Burgason.
Treasurer Hansen – Address current St. Ben’s student issues by ensuring dining facilities and options meet the needs of the current student body, promoting Bennie Pride, exploring options for student safety, providing a student voice in conversations pertaining to the CSB Health Center, and address any student issues that may arise throughout the 2009-2010 academic year.
Motion 0910-011: Motion to form the Saint Ben’s Senate Student Issues committee passes 16-0.
E. Motion to form the Saint Ben’s Senate Community and Civic Engagement committee. (Peichel)
Motion made by Vice President Peichel and Seconded by Senator Xiong.
Vice President Peichel – Increase civic engagement and improve community relationships by encouraging participation in MAPCS, planning a successful Day at the Capitol 2010, reaching out to CSB alumnae, promoting a good relationship with the city of St. Joseph, building a working relationship with the Student Athletic Advisory Council, promoting open discussion and understanding of intercultural issues at CSB, and improving inter-Senate relations.
Motion 0910-012: Motion to form the Saint Ben’s Senate Community and Civic Engagement committee passes 16-0.
F. Motion to form the Saint Ben’s Senate Sustainability committee. (Fahlstrom)
Motion made by Senator Fahlstrom and Seconded by Senator Xiong.
Senator Fahlstrom – Increase sustainability on CSB campus by focusing on educating CSB students, implementing green initiatives, increasing student representation, and evaluating campus policies.
Senator Xiong – Do you know if there is any information on recycling batteries?
Will you consider looking into that too?
Senator Fahlstrom – yes

Motion made by Allocations Chair Sperl and seconded by Senator Burgason.
Public Relations Represenative De Leon – If this is passed I would appreciate if people could send me an e-mail by Friday if they are interested in helping. Bennie day is coming up and we will need help on that.

V. Announcements
A. The next St. John’s Senate Meeting is Monday, September 21. Senators Gresback and Reiner will be attending on behalf of the St. Ben’s Senate.
B. Senators are required to attend the Mike Domitrz “Can I Kiss You?” training session on Tuesday, September 22, from 4:30 PM until 6:30 PM in Alumni Lounge at SJU. Dinner will be provided.
