End of Year Closing Information

Hall Closing Information

Believe it or not, the time is fast approaching when you will be wrapping up your projects and finals and heading for home, a new job, or a summer adventure. Please read this entire message and save your Closing Newsletter that you will receive from your RA/CA for details and directions regarding important procedures at the end of the year!

Check Out Required Before You Depart Campus

No more than 24 hours after their last final, all residents* must clean their living space, pack up all personal items, and complete at checkout with an RA/CA. This is to take place before Friday, May 8 at 6:00pm, whether you have completed a request to stay late, plan to move to summer housing or are departing for the summer you must complete a check out by Friday, May 8 at 6pm. Failure to do so WILL result in a non-negotiable $50.00 improper check out fee.

Please keep in mind the Residential Life Staff are checking out approximately 1670 residents from campus. When you come to let us know you are ready to checkout, please be fully packed, your space clean, and ready for checkout. If you are not really ready, it impacts our ability to get to the next checkout in a timely manner and affects your neighbor's departures' from campus.

*Graduating Seniors will be automatically approved if they request to stay late. Graduating seniors will need to complete a check out as directed and depart campus no later than 4:00pm on Sunday, May 8th.

All living groups will waiver to the last person departing from campus, they are designated as the official representative for checkout, however all group members may elect to be present.

The group representative should be designated through the checkout waiver which is due April 27th to the Hall/Area Office. When you turn in your waiver we will ask you to indicate which day the designated checkout person plans to depart from campus. 

Please read the waiver carefully so you understand what you are signing. You are agreeing to any charges assessed at checkout with the final roommate. This includes not only damages but any cleaning fees as well! 

The unit needs to be clean and ready for inspection at the time of the checkout. All roommates should work together to split up cleaning responsibilities and make sure their part is done before each of them leaves campus, the burden of cleaning should not be left to the person completing the check out. Use the cleaning check out list to divide up tasks and initial off when complete so you all know the work is done!

When your room is ready for inspection, come to the office and let us know you are ready to checkout. We will then send a staff member to inspect your living space/unit. Please keep in mind we will be coming to your room on a first come, first served basis. Allow 30 minutes for us to come complete an inspection, we will be there as soon as possible. 


Waivers are available and will be distributed by RA/CAs with your Closing Newsletter. This means that only 1 person in your room needs to be present to check out (It must be the last person to vacate.) When you complete a waiver you give up the right to dispute charges for cleaning or damages that are assessed (as your roommate will represent you at checkout). This option can be helpful however; it is to your benefit to checkout in person so that you know if you have any damages/cleaning charges before your leave campus. Waivers need to be filed with your RA/CA by Wednesday, April 27th at 4:30 pm. (NO EXCEPTIONS!)

Requests to Stay Late

If you need to stay later than 6:00 p.m. Friday, May 6, you must submit an online request in the housing portal. This includes Graduating Seniors, International students with late flights, and those staying in summer or temporary housing. Graduating Seniors will need to sign up for a check out time as instructed in their closing materials (emails and newsletters) with the final check out time at 4:00 pm on Sunday, May 8 when all apartments and houses close for the summer.

**Requests made late may not be accommodated and are subject to a $50.00 late request fee

Report Damages Now!

Please submit any work orders for routine repairs and maintenance now. Routine damages/maintenance items often found at checkout can often be taken care of before the end of the year. Remember, we encourage you to submit work orders for routine damages/maintenance needs throughout the year. This make your room as nice as possible for you while you are living there, there is not a charge for many routine items. If you have damages that require a cost estimate, you can contact custodial/maintenance so that you know what you will be charged for when you move out (think large stains on chairs/carpet, damage to wall/closet, etc.) These damage/maintenance pre-checks with Custodial Maintenance must occur prior to April 27th.


Clean your room as directed by the Cleaning and Check-Out sheets, distributed to your room by your RA/CAs with your Closing Newsletter. This sheet must be posted inside by your room door and should be signed by all residents. The staff member checking out your room will collect these forms when your room/suite is checked out. Cleaning charges can add up quickly so take time and leave your room in good condition, use the sheet to help you avoid charges!

Graduating Seniors

Graduating Seniors will need to sign up for a check out time as instructed in their closing materials (emails and newsletters) with the final check out time at 4:00 pm on Sunday, May 8, 2016 when all apartments and houses close for the summer. Seniors may remain in their room/suite until their check out appointment as long they sign up for a check out and submit a request to stay late by April 27th in order to remain in your housing past Friday, May 6 2016.

Temporary Housing

Residents requesting to stay past Wednesday, May 11th must apply for temporary or summer housing. A limited amount of temporary housing is available for CSB students in Dominica. Students utilize temporary housing for a variety of reasons including short summer courses, completion of student teaching requirements, athletics, accommodation of travel plans, or preparation for the NCLEX exam. The application for temporary housing can be found on the CSB Housing Portal. The priority deadline for summer/temporary housing is April 24. You will need to pack your room, clean and be ready to leave or move to temp housing. Space is limited.

Summer Housing

CSB students living on the St. Ben's campus for the summer will have the option of living in Centennial, McDonald, Wirth and Zierden Apartments. SJU students living on the St. Ben's campus for the summer will have the option of living in McDonald or Zierden Apartments. The priority application deadline for your summer housing request is April 19. Please submit the summer housing application that can be found on the Housing Portal. Students applying after the priority deadline are assigned housing first come first served as space allows. YOU MUST CHECK OUT OF YOUR CURRENT HOUSING WITH YOUR RA/CA NO LATER THAN 6:00 P.M. FRIDAY, MAY 6 (you will be able to remain in your housing until you move but you must be packed, and check out by Friday). Students signed up for summer housing will be expected to pick up their key and move Wednesday, May 11th from 10:00 a.m. to 8:00pm. Those moving to SJU, please contact SJU Residential Life & Housing for information on moving to summer housing at SJU. Summer Storage

Limited Storage is available on campus over the summer and is available on a fist come first serve basis until full. 

General Storage - Aurora Lower Level:  There is a limit of 5 boxes (trunks, lockers, suitcases) per student. The boxes must be 22" wide x 28" long or smaller. Boxes any larger than this are too large for the storage shelves. Each box must be closed, securely taped shut and clearly labeled.  Contact Custodial Maintenance at 320-363-5585 between 6:00 AM -2:30 PM, Monday through Friday or by email at  FYI: There is a limit of 5 boxes/trunks per student; no furniture, computers, refrigerators, bikes, bookshelves, bricks/blocks or carpet can be stored; and boxes must be taped shut. The college assumes no liability for the items stored.  

Electronics Storage - Corona Hall Lower Level: Up to three (3) items (computer, television, mini-fridge, DVD player, etc.) per student. Each item must be clearly labeled and cords secured. Items left in storage for more than 1 year (items not claimed during the next academic year) will be disposed of and students may be charged a disposal fee.
