End of Academic Year Closing Information

Hall Closing Information

Believe it or not, the time is fast approaching when you will be wrapping up your projects and finals and heading for home, a new job, or a summer adventure.  Please refer to your Closing Newsletter that you will receive from your RA/CA for details and directions regarding important procedures at the end of the year!

Sign Up For A Check Out Time

Sign up by Monday, April 29th for a check-out time! All residence hall residents must sign up for a check out time with your RA/CA! Students are required to check out and leave campus within 24 hours of their last final. If your RA/CA doesn't have a checkout time that works with your schedule, then ask her what you can do. Regardless of your circumstances, EVERYONE must sign up for a "check out time" with an RA before 4:30 pm on Monday, April 29th - failure to do so WILL result in a non-appeal able $50 improper check-out fee. This includes graduating seniors, international students with late flights, and those moving into summer or temporary housing. Failure to check out with your RA/CA at your specific signed check out time will result in a $50 improper checkout fee, and you may have to wait until the end of the day for your make-up check out time.

Waiver

Waivers are available and will be distributed by RA/CAs with your Closing Newsletter. This means that only 1 person in your room needs to be present to check out (It must be the last person to vacate.) When you complete a waiver you give up the right to dispute charges for cleaning or damages that are assessed (as your roommate will represent you at checkout). This option can be helpful however; it is to your benefit to checkout in person so that you know if you have any damages/cleaning charges before your leave campus. Waivers need to be filed with your RA/CA by Monday, April 29th! (NO EXCEPTIONS!)

Requests to Stay Late

If you need to stay later than 6:00 p.m. Friday, May 10th, you must fill out an online request submitted by 4:00 p.m., Monday, April 29th. This includes Graduating Seniors, International students with late flights, and those staying in summer or temporary housing. Graduating Seniors will need to sign up for a check out time as instructed in their closing materials (emails and newsletters) with the final check out time at 6:00 pm on Sunday, May 12th when all apartments and houses close for the summer.
**Requests made after April 29th may not be accommodated and are subject to a $25.00 late request fee!

Save MONEY $$$$$ Report Damages Now!!!

Please submit any work orders for routine repairs and maintenance now. Routine damages/maintenance items found at checkout can often be taken care of before the end of the year.  Remember, we encourage you to submit work orders for routine damages/maintenance needs throughout the year. This make your room as nice as possible for you while you are living there. There is not a charge for many routine items. If you have damages that require a cost estimate, you can contact custodial/maintenance so that you know what you will be charged for when you move out (think large stains on chairs/carpet, damage to wall/closet, etc). These damage/maintenance pre-checks with Custodial Maintenance must occur prior to April 29th.

Cleaning

Clean your room as directed by the Cleaning and Check-Out sheets, distributed to your room by your RA/CAs with your Closing Newsletter. This sheet must be posted inside by your room door and should be signed by all residents. The staff member checking out your room will collect these forms when your room/suite is checked out. Cleaning charges can add up quickly so take time and leave your room in good condition, use the sheet to help you avoid charges!

Graduating Seniors

Graduating Seniors will need to sign up for a check out time as instructed in their closing materials (emails and newsletters) with the final check out time at 6:00 pm on Sunday, May 12, 2013 when all apartments and houses close for the summer. Seniors may remain in their room/suite until their check out appointment as long they sign up for a check out and submit a request to stay late by April 30th. Please fill out an online special request to stay late in order to remain in your housing past Friday, May 10th, 2013.

Temporary Housing

Temporary Housing will be available in Dominica at a cost of $11.00/day if you need to stay beyond Friday, May 10th for reasons other than graduation. This includes residents who plan to move into off-campus housing but can not do so before May 10th. The priority application deadline is Monday, April 8th, 2013 and space is limited. All requests are due by April 29th. Please go online to the Residential Life website to complete the proper form. YOU MUST PACK & CHECK OUT OF YOUR CURRENT HOUSING WITH YOUR RA/CA NO LATER THAN 6:00 P.M. FRIDAY, MAY 10th. Those moving to temporary housing will move on Wednesday, May 15th from 10:00 a.m. to 8:00 p.m. and must be properly checked out from their residence halls as per instructions by their RA/CA/RD. NO EXCEPTIONS.

Summer Housing

Summer Housing will be available in Schumacher, Smith, Sohler, McDonald, Wirth and Zierden. These apartments are available at the rate of $12.00 per day for each resident. The priority application deadline for your summer housing requests are due April 8th. Please submit the summer housing application that can be found on the Residential Life website. Students applying after April 8th are assigned as space allows. YOU MUST CHECK OUT OF YOUR CURRENT HOUSING WITH YOUR RA/CA NO LATER THAN 6:00 P.M. FRIDAY, MAY 10th (you will be able to remain in your housing until you move but you must be packed, and check out by Friday). Students signed up for summer housing will be expected to pick up their key and move Wednesday, May 15h from 10:00 a.m. to 8:00pm. Those moving to SJU, please contact Tory Oelfke for information on moving to summer housing at SJU. Any questions concerning SJU summer housing may be directed to Tory Oelfke at x2735.

Summer Storage

Limited Storage is available on campus over the summer and is available on a fist come first serve basis until full.  See posters in your hall for full information. 

General Storage - Aurora Lower Level:  There is a limit of 5 boxes (trunks, lockers, suitcases) per student. The boxes must be 22" wide x 28" long or smaller. Boxes any larger than this are too large for the storage shelves. Each box must be closed, securely taped shut and clearly labeled.   Contact Custodial Maintenance at 320-363-5585 between 6:00 AM -2:30 PM, Monday through Friday or by email at dmuske@csbsju.edu. See signs on your floor for more information regarding storage guidelines. FYI: There is a limit of 5 boxes/trunks per student; no furniture, computers, refrigerators, bikes, bookshelves, bricks/blocks or carpet can be stored; and boxes must be taped shut. The college assumes no liability for the items stored.  

Electronics Storage - Corona Hall Lower Level: Up to three (3) items (computer, television, mini-fridge, DVD player, etc.) per student. Each item must be clearly labeled and cords secured. Items left in storage for more than 1 year (items not claimed during the next academic year) will be disposed of and students may be charged a disposal fee. To store an item, contact Residential Life at 320-363-5580, between 8:00am-4:30pm, Monday through Friday or by email at housinginfo@csbsju.edu. The College assumes no responsibility for items stored. **Persons storing belongings over the summer do so at their own risk.
